Tenova ("we," "us," "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our website and application.

2. Information We Collect

2.1 Landlord Information (Account Holders)

When you register for Tenova, we collect:

  • Full name
  • Email address
  • Password (encrypted)
  • Property and business information

2.2 Tenant Information (On Behalf of Landlords)

Landlords provide us with tenant information including names, emails, phone numbers, lease dates, and rent amounts. You are responsible for obtaining tenant consent before providing their information to Tenova.

2.3 Usage Information

We automatically collect IP addresses, browser type, pages visited, and device information via Vercel Analytics.

3. How We Use Your Information

  • Create and maintain your account
  • Provide rent tracking and payment features
  • Send automated reminders to tenants (if enabled)
  • Send you lease expiry alerts
  • Process subscription payments via Stripe
  • Provide customer support
  • Improve our service

4. Third-Party Processors

  • Supabase — Database and authentication (data stored in Canada)
  • Stripe — Payment processing (we never see or store your card details)
  • Resend — Email service (sends reminders)
  • Vercel — Website hosting (data in USA/Canada)

5. Data Security

  • HTTPS encryption on all connections
  • Encrypted database at rest
  • Password hashing (bcrypt)
  • Row-level security (you only see your own data)
  • Daily automatic backups
  • HTTP-only cookies for authentication tokens

6. Data Retention

While your account is active, we keep all data. When you delete your account, we delete all data immediately except for email backups retained for 1 year for account recovery purposes. After 1 year, all backup copies are deleted.

7. Your Rights

  • Access your data — email us to request a copy
  • Correct inaccurate information
  • Delete your account and all data
  • Withdraw consent from any data use

8. Tenant Communications

Landlords can enable automated email reminders to tenants. Each reminder includes the tenant's name, property address, and rent amount. Tenants can opt out by replying "UNSUBSCRIBE" to any email.

9. Data Breach Notification

If we discover a data breach, we will notify affected users within 72 hours by email and post a notice on our website. We will also notify the Office of the Privacy Commissioner of Canada if required.

10. International Transfers

Your data may be stored in Canada (Supabase) or the USA (Stripe, Resend, Vercel). By using Tenova, you consent to this transfer. All third parties comply with applicable privacy laws.

11. Changes to This Policy

We may update this policy anytime. Material changes will be emailed to you 30 days before taking effect. Continued use means you accept the updated policy.
